Bushwick Sounds Warehouse is private business software operated by Bushwick Sounds to run its own equipment rental operation. This policy explains what information it holds and how that information is handled.
Information we hold
- Staff accounts — name, username, email address and role, for people issued an account.
- Client records — business contact details for the companies and individuals who rent equipment: name, company, email, phone and billing address.
- Business records — inventory, events, quotes, invoices and the documents attached to them.
QuickBooks Online
When a Bushwick Sounds administrator connects the Software to the company's QuickBooks Online account, the Software is authorized to access that company's accounting data. It uses that access only to keep the company's own books in step with its rental records:
- Reads — company information (to confirm which company is connected), the customer list, service items, the default income account, and invoice balances (to show whether an invoice has been paid).
- Writes — creates and updates customers, creates service items that match quote categories, and creates invoices from accepted quotes.
The Software stores the QuickBooks authorization tokens, the company identifier and the company name, plus the identifier of each invoice it has created. Imported customer contact details are stored in the client directory described above. No other QuickBooks data is retained.
QuickBooks data is never sold, shared with third parties, or used for advertising, analytics or any purpose other than operating Bushwick Sounds' own business.
Other connected services
The Software also connects to Google Calendar (to mirror events onto the company's calendars) and sends transactional email such as quotes and crew invitations.
How information is stored
Data is held in a private database on the Software's hosting provider, reachable only over an encrypted (HTTPS) connection and only by holders of a valid account. Third-party authorization tokens are stored server-side and are never exposed to the browser.
Retention and deletion
Business records are kept for as long as needed to run the business and to meet accounting and tax obligations. A QuickBooks connection can be revoked at any time from the Settings page, or from the Apps section of QuickBooks Online; revoking it deletes the stored tokens immediately and ends all further access.
